Record the outer carton before the bottles
Photograph the set name, theme wording, carton front and back, seals, date or batch code, inner tray and stated bottle count. If no formal set name appears, describe only the visible wording; do not invent a series name.
- Assign the outer carton identifier S01.
- Record damaged seals and any later-applied tape exactly as found.
- Photograph the position of every bottle in the tray before removing it.
Keep every bottle as a separate record
For bottles B01, B02 and onward, record the official product name, producer, volume, ABV, date code, printed code, sealing film and bottle base. Do not copy a theme from the carton into a field not supported by the bottle.
- Create a table matching carton codes to bottle codes.
- If bottles in one carton show different ABVs or volumes, separate them into different version groups.
- Give cups, booklets and certificates their own accessory numbers.
Separate completeness from provenance
A complete bottle count describes the present inventory only. Original completeness still requires a contemporary list, purchase document or traceable provenance. Do not reseal, replace the carton or reapply labels.
- Mark missing items as “not seen” without assuming when they disappeared.
- Record the storage environment, leakage and carton damage separately.
- Similar web images are only for candidate configurations.
